Standard Operating Procedure: Using Famly at Hopscotch Children's Nurseries
PurposeTo ensure consistent and effective use of the Famly platform across Hopscotch Children’s Nurseries, providing clear guidelines for managers and staff to follow. This Standard Operating Procedure (SOP) outlines how Famly supports key business operations, aligns with company policies, and ensures best practices in daily use.
This procedure applies to all employees at Hopscotch Children’s Nurseries, including managers and team members, who are required to use Famly for administrative, communication, and operational tasks.

Roles and Responsibilities

  • Management Team:
  • Ensure all staff are trained and have access to Famly.
  • Monitor the effective use of Famly within their teams.
  • Regularly review and update staff permissions in line with roles.
  • Provide feedback to leadership on potential improvements or issues with Famly.
  • All Staff:
  • Adhere to this SOP and complete tasks assigned through Famly.
  • Maintain accuracy and confidentiality when inputting data.
  • Report technical issues or discrepancies to their line manager.

Key Policies and Procedures

Onboarding New Users

  • Managers must ensure that new staff are:
  • Added to Famly with appropriate permissions based on their role.
  • Given an introduction to the platform using Famly’s official training materials.
  • Assigned a mentor for support during the first month of use.

Daily Use Guidelines

  • Attendance:
  • Staff must record children’s check-ins and check-outs accurately using Famly.
  • Absences or late arrivals must be updated in real time.
  • Child Profiles:
  • Keep all child information (allergies, medical conditions, emergency contacts) up to date.
  • Log observations and milestones regularly, aligning with EYFS frameworks.
  • Parent Communication:
  • Use Famly to share updates, messages, and daily reports with parents.
  • Follow company guidelines for tone and professionalism when communicating.

Financial Processes

  • Invoicing and Payments:
  • Senior Management must ensure all invoicing is accurate and generated on time.
  • Payments received must be recorded promptly in Famly.
  • Fee Adjustments:
  • Any fee changes or discounts must be approved by the manager and documented in Famly.

Staff Management

  • Schedules:
  • Use Famly to manage and share staff schedules.
  • Any changes to shifts must be logged and communicated via Famly.
  • Performance Monitoring:
  • Managers should track staff attendance and performance through Famly’s reporting tools.

Reporting and Compliance

  • Ofsted Readiness:
  • Maintain accurate attendance records, child observations, and key documentation in Famly to ensure Ofsted compliance.
  • Safeguarding:
  • Log incidents, accidents, and safeguarding concerns in Famly immediately, ensuring these are followed up according to Hopscotch policies.

System Maintenance and Security

  • Data Security:
  • Ensure login credentials are not shared with anyone accept Nursery Management Team
  • Log out of the system when devices are unattended.
  • Backups:
  • Famly automatically backs up data, but managers should confirm key records are accessible in case of audit requirements.
  • Technical Support:
  • Refer to Famly’s Help Centre for troubleshooting. If issues persist, escalate to the Head Office.

Training and Support

  • Initial Training:
  • All new staff must complete Famly’s online tutorials as part of their induction.
  • Ongoing Training:
  • Managers to organise quarterly refresher sessions using Famly’s latest updates and resources.
  • Resources:

Monitoring and Review

  • Managers are responsible for:
  • Conducting monthly audits of Famly usage within their teams.
  • Addressing any gaps or inconsistencies in use.
  • Leadership will review this SOP annually or as necessary to align with updates from Famly or changes in company policies.
