Phone, Video and Device Policy Hopscotch recognises that mobile phones, tablets, smartwatches and other devices with camera or video capability are widely used. However, their use in a holiday club setting presents safeguarding and data protection risks, particularly for children. Use of Personal Devices
Staff and parents must not use personal mobile phones, smartwatches, cameras or other recording devices while in areas used by children.
Taking photos or videos of children is not permitted by staff or parents on personal devices, either within the holiday club or elsewhere.
Personal devices must not be used for calls, messaging, internet use or photography during sessions.
Staff personal mobile phones must be switched off and stored away during working hours.
Any unauthorised use of a device may be treated as a serious safeguarding breach and could result in disciplinary action.
Children's Technology:
Children attending the holiday club are not permitted to bring mobile phones, smart watches, or similar electronic devices with them. If a child is found to have brought such a device, they will be asked to hand it in and it will be stored safely until the end of the session. Children will not be allowed to access or carry these devices during holiday club hours. Parents and carers are reminded that if they need to contact their child during the day, this must be done directly through the holiday club phone.
Smartwatches and Wearable Technology
Smartwatches worn by staff must not have camera or recording functions enabled.
Management will assess the suitability of wearable devices and may restrict their use if they pose a safeguarding or distraction risk.
Hopscotch Devices
Only Hopscotch-owned tablets or cameras may be used to take photos or videos.
These devices are used solely for approved purposes such as activities, displays, learning records or communication with parents.
All Hopscotch tablets are fitted with appropriate safeguarding and security software.
Devices must be stored securely when not in use.
Use of Photos and Videos
Photos and videos are taken only with parental consent and are activity-focused.
Children are not identified by name when images are shared or displayed.
Images are never stored or shared on personal devices or social media.
Digital images are deleted from devices within a reasonable timeframe.
Unused printed photos are returned to parents or securely destroyed.
Staff Responsibilities and Reporting Concerns
Staff are trained in this policy as part of induction and ongoing safeguarding training.
Any concerns about inappropriate use of devices must be reported immediately to the Designated Safeguarding Lead or Holiday Club Manager.
